Sourcing from Turkey is not complicated. But it has to be done correctly — and most buyers who run into problems do so because they skipped steps that exist for a reason.
This is how every order placed through Trade Istanbul Hub works. Not a theoretical framework. The actual process we follow with every buyer, every manufacturer, every time.
It Starts With Contact — Not With a Catalogue
The first conversation happens either through WhatsApp or through the contact form on tradeistanbulhub.com. Both work. What matters is what happens in that first exchange.
We do not send a price list. We ask questions. What product are you sourcing? What market are you selling into? What certifications does your market require? What is your target price point and your realistic order volume? What has gone wrong with previous suppliers, if anything?
These questions exist because matching a buyer to the right manufacturer is not a keyword search. It is a judgment call based on production capacity, certification capability, minimum order flexibility, and lead time reality. Getting this right at the start saves weeks later.
The Sample Comes Before Everything Else
No order at Trade Istanbul Hub begins without a confirmed sample. This is not a preference — it is a rule.
The sample process works like this. Based on the buyer's requirements, we identify two or three manufacturers from our verified network who are capable of producing to specification. Initial samples are requested. The buyer reviews them. Feedback is given. Revised samples are produced if needed. When the buyer confirms a sample, that confirmation triggers the next step — not before.
Skipping the sample to save time is the single most expensive mistake in international sourcing. A confirmed sample takes days or weeks. A failed production run takes months and costs multiples of what the sample would have cost.
The Sample Passport — The Document Most Buyers Have Never Heard Of
When a sample is confirmed, we create a Sample Passport.
A Sample Passport is a technical document that records exactly what was approved — material composition, weight, dimensions, colour references, finish specifications, packaging requirements, labelling standards, and quality benchmarks. It becomes the contractual reference point for the entire production run.
Every quality check during and after production is measured against the Sample Passport. Not against memory. Not against a photograph. Against a documented specification that both the buyer and the manufacturer have agreed to in writing.
This document does not exist in most sourcing relationships. It exists in every Trade Istanbul Hub order. The difference in outcomes is significant.
The Contract — With Teeth
After sample confirmation and Sample Passport creation, we move to contract. The production agreement between Trade Istanbul Hub and the manufacturer covers delivery timeline, production specifications as defined in the Sample Passport, payment terms, and penalty clauses.
The penalty clauses matter. Turkish manufacturers, like manufacturers anywhere, perform better when there are defined consequences for late delivery and quality deviation. A contract without penalties is a request. A contract with penalties is a commitment. We write commitments.
Payment structure is standardised across our manufacturer network: 30% deposit to initiate production, balance payable upon completion of pre-shipment inspection and buyer approval. The balance does not transfer before the goods are inspected.
Production Monitoring — We Do Not Disappear After the Deposit
Once production begins, the order does not sit unattended until completion. For orders above a defined value threshold, the Trade Istanbul Hub team conducts periodic production checks at the factory. We verify that production is on schedule, that materials match specification, and that quality standards are being maintained mid-run rather than discovered at the end.
This matters most for longer production runs where deviation can compound. A problem identified at 30% completion is correctable. The same problem identified at 100% completion is a disaster.
Pre-Shipment Inspection — The Final Gate
When production is complete, nothing moves until inspection is done.
For products where our team can conduct the inspection directly — furniture, apparel, home textiles, footwear, tableware — we go to the factory. We check against the Sample Passport line by line. Dimensions, finish, colour, packaging, labelling. If it passes, it ships. If it does not pass, it does not ship until the deviation is corrected.
For products that require laboratory verification — cosmetics, cleaning products, food, medical devices, auto parts requiring certification compliance — we use accredited laboratory inspection services. The laboratory report accompanies the shipment documentation.
The buyer receives the inspection report before the balance payment is requested. Transparency is not optional.
Logistics — The Final Step, Not an Afterthought
Once inspection is complete and the buyer has approved, the shipment moves to logistics coordination. We work with established freight partners across road freight to Europe, sea freight to the USA, Latin America, Africa, and the Gulf, and air freight for urgent or high-value shipments.
Full documentation is prepared: commercial invoice, packing list, certificate of origin, and any product-specific certification required by the destination market. We do not send buyers into customs blind.
Why This Process Exists
Every step in this process exists because something went wrong for someone who skipped it.
Buyers who ordered without samples received production that did not match their expectations. Buyers who signed contracts without penalty clauses had no recourse when delivery was late. Buyers who skipped pre-shipment inspection unpacked containers of goods they could not sell.
